1. Who we are
ProprJob Limited ("Propr Job", "we", "us") is the data controller for personal data processed through the Propr Job platform. Contact: hello@proprjob.com.
2. What we collect and why
- Account data — name, email, phone, company name, trade type, postal code. Used to create and manage your account and provide the service. Legal basis: contract performance.
- Business branding — logo, colours, business contact details you configure. Used to render your quotes. Legal basis: contract performance.
- Quote content — customer names, addresses, quote line items, customer stories and photos you upload, and signatures with timestamps and (with the signer's consent) geolocation. Used to deliver the quoting service. Legal basis: contract performance.
- Usage and engagement data — quote view timestamps, section-level reading time, device/IP data. Used to provide view tracking to you and to secure and improve the service. Legal basis: legitimate interests and contract performance.
- Support messages — correspondence when you contact us. Legal basis: legitimate interests.
- Login telemetry — last sign-in and session metadata. Used for security and fraud prevention. Legal basis: legitimate interests.
Payment card details are collected and processed by Paddle (our Merchant of Record); we never see or store your full card number.
3. Who we share data with
- Service providers who host and operate the platform (cloud hosting, database, email delivery, storage).
- Paddle, our Merchant of Record, for sales, subscription management, payments, tax compliance, and invoicing.
- Professional advisers (legal, accounting) where needed.
- Authorities where required by law.
4. Retention
We keep personal data for as long as your account is active and as needed for legal, tax, and accounting obligations, then delete or anonymise it. Deleting your account removes your profile, quotes, stories, and associated history from our systems, subject to records we must retain by law.
5. Your rights
You have the right to access, rectify, erase, restrict, or port your personal data, to object to processing, and to withdraw consent where processing is based on consent. You also have the right to complain to the UK Information Commissioner's Office (ICO). We respond to requests within one month. Where data is transferred outside the UK/EEA, we use appropriate safeguards such as standard contractual clauses or adequacy decisions.
6. Security
We apply appropriate technical and organisational measures, including encryption in transit and at rest, access controls, and row-level isolation of each account's data.
7. Cookies
We use essential cookies/storage to keep you signed in and remember preferences (such as theme). We do not use third-party marketing cookies. You can clear cookies in your browser settings, though sign-in will stop working without the essential ones.
